This policy explains what data we process when you use the BEEP AI agent (beepai.pl) to search for, book and manage a car rental. It supplements the AI Agents Channel Privacy Notice and the BEEP Privacy Policy.
1. Who is responsible for your data
- The data controller is BEEP Rent Sp. z o.o., ul. 1 Maja 27/34, 58-500 Jelenia Góra, Poland, e-mail biuro@beep.rent.
- Answers are generated by a language model provided by an AI infrastructure provider, which processes the conversation content solely to generate answers, on our behalf.
- The Rental Company with which you book a vehicle receives the data needed to perform the rental agreement and is a separate controller of that data.
2. What data we process
- Conversation content: the messages you type. The conversation history is stored only in your browser (local storage) — you can delete it with the "New conversation" button or by clearing your browser data.
- Searches and offers: pick-up and return place and date, driver's age and driving experience, selected options. No personal data is required.
- Booking: first name, last name, e-mail address, phone number, optionally invoice details and notes, consents to the terms. We do not collect driving licence or ID numbers.
- Confirmation and management: one-time codes sent by SMS or e-mail (we store only their hash), booking number.
- Technical data: IP address, call identifier, tool name, result and execution time. Call arguments are logged with personal data masked.
- BEEP AI never accepts payment card details — do not share them in the conversation.
3. Purposes and legal bases
- Conducting the conversation, preparing and performing the booking and rental agreement, handling cancellations and extensions — Article 6(1)(b) GDPR.
- Security, abuse prevention, rate limits, Partner Programme settlements and statistics — legitimate interest, Article 6(1)(f) GDPR.
- Accounting and tax obligations — Article 6(1)(c) GDPR.
- Marketing — only with your consent (Article 6(1)(a) GDPR), which you may withdraw at any time.
4. Recipients
The Rental Company performing the rental; the payment operator Viva Wallet (when the booking requires a prepayment); SMS and e-mail delivery providers; hosting, infrastructure and language model providers.
5. How long we keep data
- Conversation history — in your browser, until you delete it.
- Booking and rental agreement data — for the duration of the agreement and then as long as required by tax and accounting laws or as needed to establish, pursue or defend claims.
- Call logs and technical data — as long as needed for security, handling reports and complaints, settlements and statistics.
- Marketing — until consent is withdrawn.
6. Your rights
You have the right to access, rectify and erase your data, restrict processing, data portability and to object to processing based on legitimate interest, as well as the right to lodge a complaint with the President of the Personal Data Protection Office (UODO) in Poland. We announce changes to this policy on this page, stating the date of the new version.
